Rising Notes Privacy Policy

This policy explains exactly what happens to the information you give us when you contact Rising Notes — above all when you message us on WhatsApp at +91 6388866363. We have tried to describe what actually happens rather than what sounds reassuring.
You may be replied to by software. Some of our WhatsApp replies are written by an automated assistant. You can ask at any time to speak to a person, and we will pass you to one.
Who we are

What we collect when you message us

your WhatsApp phone number, and the display name your WhatsApp account shows;

everything you send us, and everything we send you;

the date and time of each message;

whether you reached us by tapping one of our advertisements, and which advertisement it was. WhatsApp tells us this on your first message only;

voice notes, photographs and documents you send.
If you contact us by telephone, email, or in person, and we write down what was discussed, that note is kept in the same way.
What we do with it
We use it to answer you, to arrange lessons and enrolment, to keep an accurate record of what was agreed, and to understand how well we respond to enquiries. We do not sell it. We do not share it with advertisers. We do not use it to target advertising at you.
How your message is answered
A copy of your message reaches our own software. WhatsApp continues to work exactly as it always has: our staff see your message on the WhatsApp Business app on the phone, and a copy is also delivered to a system we run ourselves.
Software drafts a reply. To do that, the text of your conversation is sent to Anthropic, an artificial-intelligence company, whose service suggests wording. Your phone number and your name are not part of what is sent — only the words of the conversation. Anthropic does not use it to train its models.
Some replies are sent to you automatically; others are read and approved by a member of our staff first. Which happens depends on the kind of question and on how much we have come to trust the assistant with it. Where the assistant cannot answer something, or where the question needs a person, it is passed to a member of staff. Our system records every message sent, who or what sent it, and when. You can always ask for a person, and you will get one.
If a message is waiting for a member of staff and nobody has dealt with it after a few minutes, our system sends an internal alert to our staff — over Signal, a private messaging service — saying that somebody is waiting. That alert contains your name or number so they know which conversation to open.
If a conversation goes quiet after we have spoken last, our system may send a short follow-up message to you. It is never sent more than twenty-four hours after you last wrote, and if you do not reply we do not write again.
Voice notes are transcribed on our own computer. The audio is converted to text by software running on our own machine and is not sent to any transcription service.
Who else is involved

Meta (WhatsApp) carries your messages to us, and Meta's own privacy policy governs that. Because our staff also use the ordinary WhatsApp Business app on this number, colleagues linked to that account see your messages there as well.

Cloudflare carries the connection between Meta and our computer, encrypted, so that messages can reach us.

Anthropic receives the words of the conversation, as described above.

Signal carries our internal staff alerts.

Our staff, each with their own sign-in — there is no shared account.

Anyone the law requires, if we are legally obliged to disclose something.
Nobody else.
Where it is kept
Conversations are stored on equipment we control in India, behind an encrypted connection and a password for each member of staff. We keep backup copies so that a failure does not lose your record; those copies are held in the same way and are not shared.
How long we keep it
One year after our last contact with you, unless you are an enrolled student, in which case we keep what is needed for as long as you study with us and for one year afterwards. Then it is deleted. If you ask us to delete it sooner, we will, unless we are legally required to keep something.
What you can ask us to do
You may ask us to:

tell you what we hold about you;

put you through to a person rather than the assistant;

stop sending you anything.
Write to info@risingnotes.in and we will answer within thirty days, free of charge. You can also block the number in WhatsApp at any time, and you may complain to the Data Protection Board of India if you believe we have handled your information wrongly.
Children
We teach students of all ages. Where the student is a child, we expect a parent or guardian to be the person contacting us, and we handle that information with the same care. We do not knowingly collect information directly from children for any purpose other than arranging their lessons through their parent or guardian.
Changes to this policy
If we change how any of this works, we will change this page and update the date at the top of it.
